RE Lee Memorial Episcopal Church
October 16, 2006

Present:

Opening:
Melissa Cox called the meeting to order at 5:00 pm.

Worship:
Daniel Brinson opened the meeting with a hymn. Gerry Locher led the worship.

Minutes:
Melissa Cox asked for approval of the minutes from the September meeting. The motion to accept was approved without dissent.

Search Committee (Farris Hotchkiss)
The Committee has finished the profile and all the other items required by the Diocese. They will receive no names until the end of November. Then the next step is in the hands of the Diocese. The Committee will take the next step in the process when the Diocese acts which will not be until first of the year. Farris then outlined the Vestry’s role in the committee’s work. An update will be published in the next issue of the Cross and Crown.

Campaign (Farris Hotchkiss)
The campaign is in the quiet phase.  The Vestry has pledge cards and should have them filled in and submitted. Then the Committee will speak with large donors. In February, we will begin the public phase. Solicitations will be done by mail. The Vestry ultimately has total control of the funds and will decide how the proceeds are to be allocated.

Youth (Gretchen Walden and Susan Cross)
There was a youth meeting Sunday evening, Oct. 15. The Committee is looking for service projects. In addition they discussed for more faith building activities and examined ways to get more girls involved in the activities. Gretchen said that ideas were always welcome. They discussed fund raising ideas and Trey offered to tutor youth members.
Gretchen noted the need for chaperones for inside activities and road trips. She also noted that there was a permission slip with an excellent code of conduct on the back.

Endowment/Investments (Bob Glidden)
The Committee met to establish procedures with Anita and Dan Vance. Bob submitted two motions on behalf of the committee: (See motions Attached)

Facilities Planning (Jerry Nay)
Jerry reported that two parts of the steeple (finial and the sleeve encasing the top of the steeple) are able to be refurbished and they have been taken to Massachusetts for renovation.
Jerry presented the proposed traffic pattern that will be in effect during the erection of the steeple.
Jerry presented the time table for construction and erection of the steeple.
Jerry presented a drawing for the placement of the columbarium.

Bylaws (Don Ellis, John Mirabella, Louise Moore)
The Bylaws Committee presented the draft of the Church By-laws for the Vestry’s consideration. (Discussion followed) Brian Shaw, Buddy Atkins and Bob de Maria agreed to review the proposed by-laws for the Vestry.

Stewardship Committee (John Milford)
Melissa reported in John’s absence that pledge cards have been mailed out and are due Nov 5.

Yellow Brick Road (Paula Cushman)
Paula reported that construction has begun. 

Wardens Report (Melissa Cox)
Melissa reported that All Saints will be celebrated Nov. 1 and there will be an Evensong Nov. 2 commemorating all who have died.
Neff Powell will be here Sunday for a convocation meeting. The Rev. Gene Anderson will celebrate the Sunday liturgies.
Melissa reported that Chuck Ivy’s brother died suddenly.
Vestry Nominations are due Oct. 29.

Executive Session – Brian moved that we go into Executive Session to discuss a personnel matter. (seconded)
A motion was moved and seconded that we come out of Executive Session.

Gerry Locher gave the closing prayer.

Meeting adjourned at 7:35 pm.

NB:

          On October 19, Melissa circulated via e-mail the following motion

Motion

That Jerry Nay be authorized and identified as the project officer representing R. E. Lee Memorial Episcopal Church (the church) and shall be authorized to act on behalf of the church with respect to the reconstruction of the steeple by Old Time Restoration, inc of Winchendon, Massachusetts as described in AIA document a105-1993,  on file in the office of the parish administrator and in accordance with article 4 of AIA document b151-1997 standard form of agreement between the church and architect (VMDO architects, inc. Of Charlottesville, Virginia) that jerry nay be designated a representative authorized to act on behalf of the church.

On Oct. 23, Melissa Notified the Vestry that the Motion passed.
